1. Your Team

You will receive a contact list of key team leaders including your production concierge and be invited to a kick-off call with the full team where they introduce themselves and explain their role in the process.

Knowing your team and who to go to for any given solution is an integral part of your successful experience.

2. Dedicated Lead Technician & Understudy

From the moment planning begins until the end of your project, you will have a dedicated concierge as your primary point of contact.

We also guarantee an “understudy” onsite or a readily available secondary lead, fully briefed and capable of stepping in seamlessly should your primary lead become unexpectedly unavailable for any reason (e.g., illness).

No last-minute scrambling for you to find who’s in charge.

3. “No Surprises” Labor Guarantee

The labor we quote is the labor you pay for. We take great pride in our value as a production partner and being able to accurately quote a project’s cost is an important part of that. We are so confident in our labor quoting accuracy, we will cover any unforeseen overtime hours that accrue beyond the labor quote in our contracted scope of work.

Example: If the general session stage setup took longer than we predicted in our quote, and the reason is because we underestimate how long it would take, we cover the overage.)

Full disclosure: The promise is outside of client-driven scope changes, unknown venue challenges, union requirements and technicians, and other unforeseen challenges outside of our control. However, when those issues arise, we will address them with you in a transparent manner.

4. Transparent Change Order Process & Approval

While we aim to anticipate everything, scope changes do happen. If you request a change or addition outside the agreed-upon scope, we will provide a clear, itemized change order detailing additional costs by the end of the day or another agreed upon time.

No charges will be incurred outside of the original scope of work without your explicit written approval of the change order. This means no surprise add-ons to your final invoice.

5. Equipment Performance & Assurance

If a piece of equipment fails on site, we will replace it with another piece from our on-site inventory, the in-house provider, or a local vendor, whichever option removes or mitigates disruption.

You will not be charged any expense to remedy the issue, and in fact, you will be credited for the problem equipment on your invoice.

6. Bandwidth & Network Integrity Check

SPL will conduct our own independent bandwidth speed and stability tests upon load-in to ensure the internet service meets your requirements for the conference. If our tests reveal potential issues, we will immediately advise you and the venue and work together to identify solutions, such as dedicated bandwidth or bringing in our own managed connection.

7. Meticulous Pre-Planning & CAD Guarantee

We will provide detailed CAD (Computer-Aided Design) drawings for all major session rooms and review them with your team well in advance. If, upon load-in, any pre-approved and signed-off AV-related physical layout element (e.g., screen placement, projector throw distance, FOH position) does not match the CAD diagram due to our oversight and negatively impacts your event, we will rectify it immediately at our cost, even if it requires after-hours work to avoid disruption to your schedule.

Disclaimer: Occasionally, venues do not have actual architectural CAD files available as required to ensure accurate drawings. In such cases, SPL will notify you in advance and will do our best to create an accurate design; however, we cannot guarantee work made from less-than-precise drawings.

8. Last-Minute Lifeline

We know last-minute presentation changes are inevitable. Our Content Managers can handle most common format conversions or compatibility issues on the spot. Suppose a presenter arrives with a problematic file within two hours of their session, and our expert technicians are unable to make it work on their native device.

In that case, we will have a high-specification presentation laptop with standard software suites available as an immediate backup, allowing us to transfer their content and ensure the presentation proceeds. We’ll also provide discreet coaching to the presenter to manage the alternative system if needed.

9. Ironclad Logistics & On-Time Guarantee

SPL’s logistics, creative, and operations teams are committed to ensuring your event setup and show proceed on schedule, aligned with the mutually agreed upon production timeline.

In the unlikely event that a delay, caused solely by SPL, prevents setup or your event from beginning as scheduled (excluding venue access restrictions or force majeure), SPL will cover the reasonable costs of additional expedited labor (such as supplemental crew or approved overtime) necessary to keep your event on track.

10. Seamless Vendor Collaboration Protocol

We understand AV is part of a larger ecosystem. SPL will proactively participate in inter-vendor planning meetings and provide our other key partners (e.g., decor, staging, power, and internet providers) with our technical requirements as needed, well in advance.

Onsite, our production concierge will serve as a cooperative liaison.
